How to Avoid Duplicate Items in the Selections Tracker

If you're seeing duplicate items in your selections tracker, it could be for a few reasons. Here we'll walk through how items end up in the tracker and what to do if you see an item more than once. Let's look at the most common ways duplicates can appear first:

  1. You added the same item from "In this Project" and "In your Library"
  2. You created documents from scratch instead of converting items
  3. You accidentally clicked on an item multiple times in the side panel

1. You added the same item from "In this Project" and "In your Library". Items on your tracker can come from multiple sources, including mood boards, selection boards, estimates, proposals, invoices and Clipper. The first time you add any item to a project it will appear on the tracker, as well as in My Items under "In this Project" or "In {room name}". To avoid duplicates of those items when you create your next step, like a selections board or document, you'll need to add the items directly from "In this Project" or "In {room name}", not from "In your Library".

2. You created documents from scratch instead of converting items. If you are creating documents from scratch instead of converting items from your first document/tool, there is more room for error and potential duplicates. We encourage you to convert items directly from one document to the next (ex: selections > estimate > invoice > purchase order) to create connected/linked documents and prevent manual errors and avoid item duplication.

3. You accidentally clicked on an item multiple times in the side panel. It's easy to click an item more than once in a tool, especially when working on a mood board and needing multiples of the same item for visual impact or symmetry. Instead of clicking an item more than once if you need multiples, try adding it once from the My Items or Source section, then duplicating the item or switching to the "In this Project" items section to add additional instances.

What's the difference between "In this Project" and "In your Library"?

"In this Project" contains the items associated with the specific project you're in. Here you can quickly find the items already added to an individual project's documents or design/selection tools.

"In {room name}" and "Not in any Room": If you've already set up rooms in your project, you'll see a section that contains items in the room the current mood board or selections board is assigned to, like "In Kitchen", as well as a section called "Not in any Room". Both of these sections contain items in your specific project.

"In your Library" contains all of your items across all projects, including those not assigned to any project.

How do things get added to my Project Items?

The first time you add any item to a project, be it on a mood board, selections board, financial document or via Clipper, it will be added to your "In this Project" section under My Items. Items can be added manually, like assigning an item to a project when clipping (see image below), or directly from your main library of items you have already added to the system. Once an item has been used in a project, you'll need to add the item directly from "In this Project" section, not from your "In your Library", if you want to use it in another document or feature and avoid duplicates in the tracker.

Where do I find my Project Items?

Mood boards: From within a mood board, access your "In this Project" items section under My Items from the panel on the right. If you've already set up rooms in your project, you might see a section that contains items in the room the current board is assigned to, like "In Kitchen", as well as a section called "Not in any Room". Both of these sections are your project items.

Selection boards: From within a selections board, access your project items within My Items from the panel on the right. You'll see a section that contains items in the room the current board is assigned to, like "In Kitchen", as well as a section called "Not in any Room". Both of these sections are your project items.

Documents: From within a document, like an estimate/proposal or invoice, click My Items from the right panel and you'll find your "In this Project" section.

How do I remove duplicates from the selections tracker?

To remove or hide duplicates from the tracker you have a few options:

  • Delete the item(s) directly from the tracker
  • Filter out the draft items in the tracker
  • Delete the items(s) directly from a feature/document (*only applies to certain features)

Delete the item(s) directly from the tracker

From within the selections tracker, you can use the trashcan icon to the left of an item to remove it from the tracker. The item must be in draft status — you cannot delete items that are already connected to a document(s). If the item is in draft status and connected to a selections board (you can see this in the Detail column) it will be removed from the selections board when you delete it from the tracker.

Filter out the draft items in the tracker

If you want to hide duplicate items in the tracker instead of completely removing them, you can use the filter at the top to hide Draft items under the Document Status section.

Delete the items(s) directly from a feature/document

While you can remove items from all features and documents, in most cases the item(s) will remain in your Project Items and in the tracker. The only feature that allows you to delete an item from your Project Items and tracker is your selection boards. Let's take a look at each feature:

Selection Boards: From within a selections board, you can use the three dots on the top right of any item and select 'Remove from Project'. This action will remove the item from the board, as well as remove it from the Project Items and the tracker. This will only be an option on declined or draft items.

Mood Boards: From within a mood board, you can remove an item from the board itself using the Delete option when clicking on the item. This will only remove the item from the mood board; it will still be available in your Project Items and in the tracker. You can remove it directly from the tracker if needed.

Documents: From within a document (estimate, proposal, invoice etc), you can remove an item from the document itself using the Delete option when selecting the item, or Remove from the three dot menu on the right. This will only remove the item from the document; it will still be available in your Project Items and in the tracker. You can remove it directly from the tracker once it has been disconnected from all relevant documents.
