How to Use Task Templates

Using Tasks in Houzz Pro is a great way to keep your projects and leads on track. By assigning tasks to team members, subcontractors and clients, you can ensure that everyone follows up on deadlines so the project keeps moving forward.

While you can easily create custom tasks for every project (read this article for details), you can also create a task template. A template is useful if you often follow the same process, with the same tasks, for most of your projects. As you begin your project, it can help you save initial setup time and make sure no steps are missed.

You can create and use a task template from your Task Center, as well as from an individual project or lead.

Create Task Templates in Task Center

The Task Center organizes all your tasks across all projects and leads, so it's an easy place to compile relevant tasks to add to your template.

To access the Task Center, click the Search icon from your left navigation and select Task Center under Management.

Once in the Task Center, you can either save all your listed tasks in a task template, or you can manually select which tasks to include. You can use the filters at the top of the page to narrow down the task list if needed.

Save All Tasks: To save all listed tasks in a task template, select Actions at the top of the page, then click Save All as Template.

Manually Select Tasks: To select which tasks to include in a task template, click the checkbox next to the relevant item. Once the list is complete, click Save as Template at the top of your list.

A new screen will appear where you can save your task template. You can choose to create a new task template or add the selected tasks to an existing template. If you are creating a new template, be sure to name it.

Please Note: Attachments, comments and schedule links will not transfer over to the template.

For both new and existing templates, use the toggles next to Team Members and Subcontractors if you would like to keep the current assignees for the selected tasks, and toggle on Task Description if you would like to include description details in the template.

Once complete, click Save.

Create Task Templates in Projects and Leads

You can also create a task template within an individual project or lead. To start, find the project or lead you want to work on from within the Projects or Leads icon in the navigation, then select Tasks & Punchlist in the left menu.

From within the task list, you can either save all your listed tasks in a task template, or you can manually select which tasks to include. You can use the filters at the top of the page to narrow down the task list if needed.

Save All Tasks: To save all listed tasks in a task template, select Actions at the top of the page, then click Save All as Template.

Manually Select Tasks: To select which tasks to include in a task template, click the checkbox next to the relevant items. Once the list is complete, click Save as Template at the top of your list.

A new screen will appear where you can save your task template. You can choose to create a new task template or add the selected tasks to an existing template. If you are creating a new template, be sure to name it.

Edit Task Template

To edit your templates, you can quickly access them within the Tasks & Punchlist section of your project or lead — just select Manage Templates in the Actions dropdown. This will bring you to the Templates Center.

You can also go directly to the Templates Center of your account. To access, click the Company icon from your left navigation and select Templates. Within the Templates Center, select Tasks from the left menu.

Here, you will see a list of all your existing templates. Click the three dots icon for quick edits such as Use Template, Edit, Duplicate, Rename, and Delete. Click the template to make more detailed edits.

When you open a task template, the Actions dropdown allows you to make changes to the entire list, including Duplicate and Edit, Archive, and Delete. You can quickly add a new task to the list at the top or the bottom of the template. To make changes to a specific task, assignee or due date, click the task title or the relevant icon.

Task Template Due Dates

Since task templates can be applied to multiple projects with varying start dates, the due dates for each task cannot be defined by specific dates. Instead, you will set a due date that is x number of days from the start day of the project it's applied to. For example, if you want a task due 5 days after the project starts, select 5 in the dropdown.

Once complete, click Apply.

Use Task Template

If you would like to apply the task template to a new or existing project/lead, you can click Use Template in the Actions dropdown of an individual project or lead. A modal will open where you can select from your existing task templates.

You can also go directly to the template itself. To access, click the Company icon from your left navigation and select Templates. Within the Templates Center, select Tasks from the left menu.

Select the relevant template from the template list. At the top of template, click Use Template.

A new screen will appear — select the relevant project/lead (or create a new one), then select a start date for the tasks (if no due dates are set in the template, this will not apply). If you want to send immediate notifications to the task assignees, make sure the checkbox next to "Send email notifications..." is marked — if deselected, you will have the option to notify assignees later.

Once complete, click Done. The listed tasks will now appear for that project/lead.

If you chose not to immediately notify assignees of the tasks in an applied template, you can always open a task's details within the project and click Send Task Email.
