Our design process is such that we provide several opportunities to review the concepts and plans, including image boards of plants and materials, before proceeding to construction. In this particular case the unique situation of a rooftop garden with limited access provided challenging growing conditions and construction logistics. In our initial consultation with the client we took note of their desire for a landscape design that was low maintenance (no living landscape is zero maintenance and we reiterated this point along the way) along with the desire for evergreen shrubs and perennials, planters in the back courtyard and irrigation. We provided the clients with a detailed proposal that included our scope of services for designing the space. The clients had a tight timeframe to do the work, so we recommended a Contractor who was available. They submitted a bid and the clients agreed to have them do the work.
Unfortunately, at the time of installation, the client called us to say they were unhappy with the design. I immediately agreed to meet them on site and was able to work with them to redesign the space in the field that day. Since plants had already been delivered and installed, changes at this stage did result in increased cost to construction.
At this point, once the installation was complete and we did our final walkthrough, we did not hear from the client until a couple months ago. As soon as they reached out to us we set up a meeting and discussed possible options. Because the clients are often away for a month or two at a time, our design ensured quick establishment of groundcover to discourage weeds. However, a limited amount of maintenance including trimming, thinning of some plants and occasional replacement if a plant dies is required. We followed up with a phone call and an email but unfortunately, they apparently decided they did not wish to proceed with any of our recommendations including the need to have a regular maintenance plan in place.
In the end, we do stand behind our work and believe we did our best in this situation.
